Fleet management software for moving companies
Every Truck. Every Trailer. Off the Board When It's Down
Moving company fleet management for mixed-ownership fleets — company, leased, contractor, and driver-owned trucks and trailers. Unavailability dates keep units off dispatch. Maintenance files your team can pull for a DOT audit.
Manage trucks, trailers, and mixed-ownership equipment. Maintenance records, DOT attachments, and out-of-service dates that block dispatch.
Questions
What vehicle records does a moving company need for a DOT audit?
A DOT audit of the vehicle file is about maintenance on the unit — not ELD or hours of service. You need the record on the truck: what was done, who did it, and proof. Mover Advantage stores vendor, cost, detailed notes, and PDF attachments on the maintenance event. Your team pulls DOT audit vehicle records from the unit, not a shop inbox.
How long should movers keep truck maintenance files?
Under 49 CFR 396.3, motor carriers generally keep the maintenance file for one year where the vehicle is housed or maintained. For a vehicle you controlled for 30 consecutive days or more, keep the record for six months after it leaves your control. Mover Advantage keeps truck maintenance tracking on the unit so the file is findable. Retention policy is yours — the product stores the record; you decide how long it stays.
How do you keep shop trucks from being dispatched?
You put the truck out of service with unavailability date blocks. Those dates keep the unit off the dispatch board, so it can't be scheduled. Capacity planning sees the hole. The dispatching board reads that availability — shop trucks stay off jobs until the dates clear.
Can we track contractor-owned and driver-owned trucks with company units?
Yes. Owner is a field on the unit: owned, leased, contractor, or driver-owned. Contractor-owned and driver-owned trucks sit on the same roster as company iron. You plan mixed fleets without a second spreadsheet for someone else's equipment.
Is this GPS or ELD software?
No. This is fleet management, not vehicle tracking. There is no GPS, ELD, telematics, or live map. You get the roster, ownership, out-of-service dates, and the maintenance file — the record of the unit, not its location.
Can repair invoices and PDFs be attached for an inspector?
Yes. Attach PDFs and files to the maintenance event on the unit. Vendor, cost, and notes sit with the attachment. When an inspector asks for proof of repairs, you open the truck — not a shared drive.
Who should see purchase price and maintenance cost?
Not everyone on the roster. Field-level security keeps purchase price and maintenance cost restricted. Operations can work the board. Finance and ownership see the dollars.
